Privacy Policy

How we collect, use and protect your personal information.

1. Overview

This Privacy Policy explains what personal information Nextezone Digital collects, why we collect it, how we use and protect it, and the choices you have. It applies to this website and to any interaction you have with us — an enquiry form, an email, a phone call or an ongoing project.

We take privacy seriously and only ask for information we genuinely need. If anything here is unclear, please contact us at info@nextezone.com and we will explain it in plain language. You can also read our Terms & Conditions.

2. Information We Collect

We collect only what is necessary for the purpose described below. Depending on how you interact with us, that may include:

  • Contact details — your name and email address when you send a message through our contact or service forms.
  • Project information — the service you are interested in and any details you choose to share about your business, goals or requirements.
  • Business correspondence — emails, call notes and messages exchanged while we work together.
  • Technical data — standard server logs such as IP address, browser type, the pages requested and the time of the request, which are created automatically by any web server.
  • Billing information — invoices and payment references needed for accounts and tax records. We do not store complete card numbers.

We do not ask for sensitive categories of personal data — such as health, political or biometric information — and we ask that you do not include them in form messages.

3. How We Collect Information

Information reaches us in three main ways. First, you give it to us directly by filling in a form, emailing us, calling us or signing a proposal. Second, it is generated automatically when you visit the website, in the form of ordinary server logs. Third, it may be provided by someone acting for your organisation, for example a colleague who adds you to a project thread.

We do not buy personal data from third parties, and we do not use data brokers or shadow profiling services.

4. How We Use Your Information

We use personal information for the following purposes:

  • To respond to enquiries and provide the information you requested.
  • To prepare quotations, deliver projects and manage our working relationship.
  • To send invoices, collect payment and maintain business records.
  • To operate, secure and improve this website, including diagnosing errors and understanding which pages are useful.
  • To meet legal obligations and protect our rights, our clients and our website from abuse or fraud.
  • To send occasional updates or marketing only where you have asked for them, with a clear unsubscribe option in every message.

We do not sell, rent or trade your personal information to anyone, and we do not use it to build advertising profiles.

5. Legal Bases for Processing

Where data protection law requires a legal basis, we rely on one or more of the following: your consent when you submit a form or subscribe; steps taken at your request before entering into a contract; performance of a contract once you become a client; our legitimate interests in running and improving a small business, answered by safeguards such as data minimisation; and compliance with legal obligations such as tax record keeping.

6. Cookies and Similar Technologies

This website does not use advertising, profiling or cross-site tracking cookies. No Google Analytics, Meta Pixel or similar marketing tags are installed. The only stored data of this kind is the standard operation of the website and, if you log in to the admin area, the session cookie required to keep you signed in — that cookie exists only for the duration of your login and is not used for tracking.

You can clear cookies at any time through your browser settings. Because we do not rely on tracking cookies, doing so does not reduce your access to the site. Should we ever add analytics or marketing tools, this policy will be updated and, where required, we will ask for your consent first.

7. Sharing Your Information

We share personal information only where it is necessary to provide the service or where the law requires it. Recipients may include:

  • Infrastructure providers — the company hosting this website and handling our email, who process data on our instructions under their own security commitments.
  • Professional advisers — accountants or legal counsel when a matter genuinely requires their input.
  • Project collaborators — trusted specialists working under our direction on your project, limited to what they need to know.
  • Authorities — when disclosure is required by law, regulation or a valid legal process.

Any provider we engage is bound to handle the information securely and only for the agreed purpose.

8. How Long We Keep Your Data

We keep personal information only as long as it serves the purpose it was collected for. Enquiries that do not become projects are removed within 24 months. Project records, contracts and invoices are retained for the period required by tax and company law, which is generally up to seven years. Server logs are rotated on a short cycle. When data is no longer needed, it is deleted or irreversibly anonymised.

9. Your Rights and Choices

Depending on where you live, data protection law may give you the right to:

  • Ask for a copy of the personal information we hold about you.
  • Request corrections to information that is inaccurate or incomplete.
  • Request deletion where we no longer have a valid reason to keep it.
  • Object to, or restrict, certain processing activities.
  • Withdraw consent at any time, without affecting processing that already took place.
  • Receive information you supplied in a portable format.

To exercise any of these rights, email info@nextezone.com. We will respond within 30 days and may ask for reasonable proof of identity first. You also have the right to lodge a complaint with your local data protection authority.

10. Data Security

We protect personal information with proportionate technical and organisational measures: encrypted connections (HTTPS) across the site, restricted and password-protected access to systems, strong authentication for administrative accounts, regular software updates, and backups of website data and content. Only people who need the information to do their job can see it.

No method of transmission or storage is completely secure, so we cannot promise absolute protection. If a breach ever affects your data, we will notify you and the relevant authority as required by law.

11. International Transfers

Our main operations are in Pakistan, and primary storage of your data happens there or with our hosting provider. Where a tool we use processes information in another country, we take reasonable steps to ensure an equivalent level of protection, such as contractual safeguards with the provider.

12. Children's Privacy

Our services are aimed at businesses, and this website is not directed at children under 16. We do not knowingly collect personal information from children. If you believe a child has sent us personal data, contact us and we will delete it promptly.

13. Links to Other Websites

This site may link to third-party websites, such as client projects or social platforms. Those sites have their own privacy policies, and we are not responsible for their content or practices. We encourage you to read the policy of any site you visit.

14. Changes to This Policy

We may update this policy when our services, tools or legal obligations change. The latest version always appears on this page with its revision date at the top. Material changes will be highlighted here or, where appropriate, communicated directly to clients.

15. Contact Us

For questions, requests or concerns about this Privacy Policy or your personal information, reach us at info@nextezone.com or through our contact page. Nextezone Digital, Abbottabad, Pakistan. We aim to reply within one business day.
